If you request a Letter of Invitation, this will be sent out once the payment for the registration has reached Gema Tours account. If you have special dietary requirements, you will be able to enter this when making your registration for the congress. Once the registration has been completed the cancellation policy will apply if you cancel your registration.

Cancellation terms
Full cancellation of your participation must be emailed to the ORCA 2019 – Conference secretariat by email mayerlynino@gematours.com
Registration fee:
Until 15 April: Full refund less an administration fee of 8% of the total amount of the inscription
Until 15 June: 50 % refund
After 15 June: No refund
Personal data.
Gema Tours SA, a travel agency on behalf of the European Organization for Caries Research, hereby informs all participants for the 66th Congress of the European Organization for Caries Research that the information provided and obtained through this registration form will be treated in accordance with our privacy policy and according to the current regulations of protection of personal data and privacy, in accordance with Statutory Law 1581 of 2012 and Decree 1377 of 2013.
Therefore, by completing this form, you authorize GEMA TOURS S.A. voluntarily, prior, express and informed, to carry out the processing of your personal data contained herein, in order to be contacted; as well as to transfer and / or transmit their data to hotels, suppliers and other third parties, necessary to meet the needs relating to the Congress. Likewise, it declares that it has been informed of its right to know, update and correct its personal data, request proof of authorization, be informed of the treatment that has been given to its personal data, file complaints with the SIC, revoke the authorization granted and / or request the deletion of your data in the cases where it is appropriate.
Note: Regarding accommodation there is a Tax-free for Foreigners in Colombia.
Hotel rooms have been secured in different categories for your convenience and they are bookable when you register for the congress.
All prices are in COP and the price quoted is per room, per night. Breakfast is included in the rate.
The roomrates depend on availability from the 29th June to the 9th July. Check in time is 3:00 pm and check out time is 12:00 noon. Guests will be charged 50% of the applicable room rate for late check out up until 6:00 p.m. Any checkout later than 6 p.m. will be charged 100% of the applicable room rate for an additional night. Please bring the confirmation with you, as it will serve as proof of your reservation at the hotel and deposit.
Full payment will be required when making your hotel reservation. Once the payment has been received you will receive your hotel receipt together with your confirmation letter. If you are sharing room with another delegate, please ensure only one of you books accommodation, otherwise two separate bookings will be made.
If you enter country for tourism purposes (recommended) this means you will not be charged the IVA tax (VAT) of 19% in the hotel. So, the prices for accommodation will be shown without this tax (and with the IVA tax for Colombians). When you register for hotel you will be able to pay without tax but at check-in in the hotel in Cartagena they will have to verify with your passport and your entry type stamp that you apply. Otherwise, you will then be charged.

Invoice?
- Our invoices are sent as PDF files (and not via regular mail) to the e-mail address on the registration.
- It is the responsibility of the participant to forward the invoice to the correct place for payment.
- If you have not received your invoice via email within 2 days after completing your registration, please contact mayerlynino@gematours.com for assistance. Please double check that the email has not ended up in your spam folder because of the attached invoice.
Credit card
Please confirm with your bank that your card is accepted for international payment in Colombia. Online payment and has activated 3D Secure. Please note that we require "3D secure" identification (authenticated payment system that offers added security for your online purchases) on our registration forms. City tour San Felipe fortress, Historical Museum and San Pedro Claver Cloister
Tour around the city passing through the residential neighborhoods that border the bay of Cartagena. Afterwards passengers will visit San Felipe de Barajas Fortress, the most apotheosis structure of engineering made in the new world. Afterwards they will visit Historical Museum and San Pedro Claver Cloister within the wall city ending the tour with a demonstration of emerald work at a Emerald Museum. Duration: 4 hours
